How to choose carbon accounting software
What carbon accounting software does, how it handles Scope 1, 2 and 3 emissions under the GHG Protocol, what to check before you buy, and tools ranked by verified reviews.
Carbon accounting software turns activity data (energy bills, fuel use, travel, purchases) into a greenhouse gas inventory you can report, set targets against and have assured. Almost every ESG reporting rule now starts with emissions, so this is often the first ESG tool a company buys.
What the software does
- Collects activity data from invoices, meters, ERP and travel systems, spreadsheets and suppliers.
- Applies emission factors to convert that data into tonnes of CO₂ equivalent.
- Builds your inventory by scope, site, business unit and year, following the GHG Protocol.
- Tracks targets such as net zero or science-based targets, and models reduction plans.
- Produces reports for CSRD/ESRS E1, ISSB (IFRS S2), CDP, BRSR, SB 253 and customer requests.
Scopes in one minute
| Scope | What it covers | Where the data comes from |
|---|---|---|
| Scope 1 | Direct emissions from sources you own or control: fuel in boilers and vehicles, process emissions, refrigerant leaks | Fuel records, fleet data, maintenance logs |
| Scope 2 | Purchased electricity, heat, steam and cooling | Energy bills and meter data, plus supplier contracts for market-based figures |
| Scope 3 | Everything else in your value chain, in 15 categories: purchased goods, transport, business travel, use of sold products and more | Spend data, supplier data, product data |
For most companies, Scope 3 is the large majority of the total, and it is where tools differ most.
What to check before you buy
Emission factors you can trace
Every number should show which factor was used, where it came from (for example DEFRA, EPA, IEA or ecoinvent) and which version. Ask whether factors update automatically each year and whether past years stay locked so restated figures are clearly marked.
Scope 2: location-based and market-based
The GHG Protocol asks for both. Check that the tool handles renewable energy certificates and supplier-specific factors properly, and shows both figures side by side.
Scope 3 approach
Most tools start with spend-based estimates (money spent multiplied by an industry average factor) and let you replace them with supplier-specific data over time. Ask how the tool collects data from suppliers, whether suppliers need a login, and how it shows the share of your inventory based on real supplier data versus estimates.
Audit trail for assurance
CSRD, BRSR Core, California SB 253 and others require emissions to be assured. Your assurer will pick numbers and ask for the evidence behind them. The tool should link every figure to its source data, factor and calculation.
Industry fit
Financial institutions need financed emissions (the PCAF standard). Manufacturers may need product carbon footprints and CBAM reporting. Retail and consumer brands need large supplier programmes. Choose a tool built for your problem rather than the longest feature list.
Questions to ask vendors
- Show me one Scope 3 category end to end, from spend data to the reported figure.
- How do you show which numbers are estimates and which are supplier data?
- How do you handle restatements when a factor or boundary changes?
- Which reporting formats can you export (ESRS E1, IFRS S2, CDP, BRSR)?
- What is included in the price, and what do supplier logins cost?

Need help with the inventory itself?
Software does the maths, but the first inventory often needs judgement: setting boundaries, choosing methods for each Scope 3 category and deciding what is material. Many companies use a GHG inventory and verification firm for year one, then run the software in-house. If you plan to set a science-based target, see SBTi and net zero advisers.
Next steps
- List the reports you must produce in the next two years using the rules checker.
- Shortlist tools in carbon accounting software and compare them side by side.
- Ask each vendor to load a sample of your own data in the demo.
